About the Role

The Administrative Assistant provides day-to-day administrative support to the Health, Social Services and Recreation Department. They also coordinate the provision of Social Assistance for the Vuntut Gwitchin First Nation (VGFN) and provide front line reception to clients who are contacting or accessing health and social services. This position also provides secretarial services to the Department Director and Managers. Reporting to the Health, Social & Recreation Director, some of the responsibilities of the position include but are not limited to;

  • Front Line Reception – Acts as the primary point of contact for the Department, screens incoming correspondence, phone calls and visitors to determine the nature of the inquiry, exchange information and redirect as necessary. 
  • Logistical Support – Coordinates arrangements for program and service activities for the Department. Includes making travel arrangements such as flights and accommodations, and meeting room bookings and required catering and working with IT Technician to confirm accessibility for electronic meetings. 
  • Calendar Management – Serves as the ‘gatekeeper’ for the Outlook calendars for the Director and Managers of the Department when reviewing internal and external meeting requests. 
  • Social Assistance – Coordinates the Social Assistance Program for VGFN Citizens and other social programs as directed. 
  • Financial – Preparation of required cheque requisitions, purchase orders, travel requests/claims, reconciliations, service agreements and funding/contribution agreements for internal approval. 
  • File Management – Maintains administrative systems, procedures and records management systems while ensuring confidentiality.
What We Offer
  • $36.57/ hour - $54.85/ hour (Based on education and experience)
  • Working Hours: 80 hours biweekly.
  • 4% Northern Community Remoteness Allowance for employees residing in Old Crow full-time.
  • 4% Northern Travel Allowance for employees residing in Old Crow full-time.
  • 4 weeks’ vacation to start plus two weeks paid time off over the Christmas season.

What You Bring:
  • Certificate or diploma in office administration, or an equivalent combination of experience and training.
  • Experience performing a range of administrative functions (e.g., coordinating travel, records management, managing correspondence, etc.).  
  • Experience providing client service by interacting with the public and responding to inquiries.  
  • Ability to organize travel and logistics for staff and events. 
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, OneNote and Outlook) products, Adobe, basic bookkeeping and records management systems.
