About the Position
This temporary full-time position reports to the Executive Director and must be filled by a VFGN Citizen.
The purpose of the position is to plan, coordinate, advertise and manage a successful General Assembly which is scheduled for August 7 – 9, 2025 and up to two days of pre meeting in advance of the General Assembly. Responsibilities include consulting with the Executive Director and Council; developing an event plan and budget; coordinating and attending planning meetings; arrange for meals, travel, door prizes, maintaining a filing system and supporting logistics during the event.
Site Coordination (with support from VGFN staff):
- Advance Site Preparation (Tl’oo K’at): Coordinate site cleanup, including brush clearing and washroom preparation.
- First Aid: Arrange a first aid station and identify first aid attendants for each day.
- Kids Activities: Organize activities and/or sitters for children.
Meals and Coordination:
- Meal Kits: Order plate, bowl, cutlery, and cup sets for attendees.
- Meals - August 5-6 (TBC): Coordinate cooks, menus, and food orders for breakfast, lunch, and dinner for up to two days at Darius Elias Community Hall for meetings in advance of the General Assembly. Ensure availability of coffee, tea, and water throughout.
- Meals - August 7 - 9: Coordinate cooks, menus, and food orders for breakfast, lunch, and dinner for three days at Tl’oo K’at. Ensure availability of coffee, tea, and water throughout.
- Travel and Accommodation: Manage travel arrangements for invited presenters, auditors, GA Chair, technical support, staff, and consultants.
Meeting Support and Door Prizes:
- Donations: Seek donations from partners.
- Prize Coordination: Organize and distribute door prizes throughout the event.
- Chair: Secure a Chair in accordance with VGFN Constitution.
- Minute Taking: Secure a minute taker.
- Printing Materials: Print required materials (excluding the General Assembly Report).
- Technology: Coordinate set-up of required technology for event (with support from VGFN staff).
Post General Assembly activities:
- Site Cleanup: Manage the cleanup of the site after the event.
- Post Event Meeting: Work with VGFN Administration in coordinating a meeting to discuss ‘lessons learned’ from General Assembly.
- Report: Draft report for VGFN Executive on the GA and recommendations for future improvements.
- Financial: Assist the Executive Director in ensuring all suppliers and service providers are paid with supporting documentation.
What We Offer
- Temporary full-time employment (Dates of the GA may change due to unforeseen circumstances).
- $62.23 per hour
What You Bring:
- Extensive experience in organizing and coordinating large special events.
- Training and experience in project management is an asset.
- Excellent knowledge of Yukon First Nation Government systems.
- Solid understanding of VGFN, social structure, traditions, language, and cultural values.
- Strong administrative skills, including notetaking and computer proficiency.
- Excellent oral and written communication skills;
- Strong organizational and time management abilities.
- Ability to manage stress and work flexible hours.
- Proficiency in liaising with outside agencies on behalf of VGFN Council.
- Ability to foster unity and develop effective working relationships with staff, Citizens, and the public.
- Ability to maintain tact, discretion, and confidentiality; self-motivated and reliable.
